  1. One-page run sheet. Arrival, setup, welcome, experience sequence, transitions, close, cleanup, owner for each step, and timeboxes.
  2. Participant communication. What the experience is, who it is for, timing, location/access information, cancellation/refund terms if applicable, what to bring, and how to ask for accommodation.
  3. Staff / vendor record. Names or roles, arrival times, responsibilities, equipment, dependency owner, and confirmation state. Do not treat an unconfirmed vendor as secured.
  4. Preflight checklist. Site access, accessibility route, equipment, payment/registration state, emergency contacts/process, weather/cancellation decision point, communications.
  5. Evidence capture sheet. Qualified sign-ups, attendance, completion, no-shows, objections, staffing time, throughput, incidents, direct cost inputs, repeat intent, unresolved dependencies.
  6. Decision record. Date, proof summary, supported evidence, failed assumptions, unknowns, stop/revise/repeat/proceed decision, and next bounded commitment.
